Overview
WorkMate supports multi-user accounts so you can bring your whole team onto the platform. Each person gets their own login and sees a view tailored to their role — employees see only their assigned jobs, while admins have full access to everything.
Team management is found in the Account tab under Team Management. A badge on the button shows when there are pending access requests waiting for your approval.
Team Roles Explained
WorkMate has four roles. Each role is a superset of the one below it — a Foreman can do everything a Team Member can, an Admin can do everything a Foreman can, and so on.

Tip: Use Foreman for experienced crew leads who need to create jobs and manage the site. Use Team Member for field staff who just need their schedule and the ability to close out their own jobs.

Note: Every action taken by a team member or foreman on a job or invoice is logged in the activity history, so you can always see who did what and when.
Inviting New Team Members
- Go to Account → Team Management.
- Tap Copy Invite Code to copy the code to your clipboard, or tap Share Invite Link to send it via message, email, or any other app.
- The team member downloads WorkMate, opens the app, and chooses Join a Team. They enter the invite code or tap the link.
- They create their own WorkMate account (or sign in with an existing one).
- An access request appears under Access Requests in your Team Management screen.
- Tap Approve to activate their account.
Note: The invite code is permanent — you can share it multiple times. If you think it has been compromised, contact support to reset it.
Approving or Rejecting Access Requests
When someone joins with your invite code, their request appears under Access Requests in Team Management.
- Tap Approve to activate their account. They'll receive a notification and can immediately access WorkMate.
- Tap Reject to deny access. You can optionally provide a reason. The rejected request moves to the Rejected Requests history.
You'll receive a push notification when a new access request arrives so you don't have to check the screen manually.
Changing a Member's Role
- In Team Management, tap the team member's name to open their detail card.
- Tap Change Role and select the new role.
- Confirm the change.
The team member receives a notification about the role change. Their access updates immediately.
Removing a Team Member
- In Team Management, tap the team member's name.
- Tap Remove Member.
- Confirm the removal in the prompt.
Removing a member immediately revokes their access to WorkMate. Their past job assignments remain in the record but they can no longer log in to your account.
The removed member receives a notification. You can re-invite them at any time using the same invite code.
What Each Role Sees in the App
Team Member
Team Members see a simplified version of WorkMate focused on their own work:
- Schedule — only jobs they have been assigned to.
- Customers — contact details for customers on their assigned jobs.
- Invoices — invoices linked to their assigned jobs. They can send, edit, and mark these invoices as paid.
- Account — their own profile and notification settings.
They cannot see business finances, analytics, other team members' jobs (unless assigned), or team management settings.
Foreman
Foremens see the full WorkMate app minus the financial and administrative sections:
- Jobs — all jobs across the business. Can create, edit, assign, and delete.
- Customers — full customer management (add, edit, view history).
- Invoices — all invoices. Can send, edit, and mark paid.
- Schedule — full schedule view for planning and coordination.
- Settings — their own profile only.
Foremens cannot see revenue analytics, quotes, billing settings, or team management.
Admin
Admins have full access to everything except billing and account deletion:
- All jobs, customers, invoices, and quotes.
- Revenue dashboard and analytics.
- Team management — approve requests, change roles, remove members.
- Business profile editing.
Tip: Use Admin for trusted managers who need to run the business day-to-day. Use Foreman for experienced crew leads who manage jobs on-site but don't need to see the books.
