Overview
The Schedule tab is the heart of WorkMate. Every piece of work you do — whether it's a one-off repair or a recurring maintenance visit — lives here as a job. Jobs hold all the details: customer, line items, team assignments, photos, signatures, and payment status.
Creating a New Job
Tap the + button on the Schedule tab or the Schedule a Job button on the dashboard. Fill in the form:
- Title (required) — a short description like "Fence repair" or "HVAC service".
- Customer — link the job to an existing customer so their contact details are attached.
- Date & time — choose from 30-minute slots between 6 AM and 9 PM. Add an end time if the job spans multiple hours.
- Line items — add services and materials with descriptions, quantities, and unit prices. Drag to reorder.
- Team members — assign one or more people from your team.
- Repeat — set up recurring jobs (see Recurring Jobs below).
- Calendar sync — optionally sync this job to your phone calendar.
Tap Save Job to create it. The job status starts as Job Saved.
Job Statuses Explained
Every job moves through a series of statuses as work progresses. You can update the status from the job detail screen.
| Status | What it means |
|---|---|
| Job Saved | Job created, awaiting further action. |
| Quote Sent | A quote has been sent to the customer and you're awaiting their response. |
| Customer Approved | The customer has accepted the quote. Work can begin. |
| Quote Declined | The customer declined the quote. |
| In Progress | Work is actively underway. |
| Job Started | Formal start recorded with a timestamp — useful for time tracking. |
| Done | Work is completed. Ready to invoice. |
| Paid | Invoice has been paid. Job is fully closed. |
Tip: Keeping statuses current means your dashboard always shows accurate metrics for revenue and outstanding work.
Schedule Views
The Schedule tab has three ways to view your jobs. Switch between them using the icons at the top of the screen.
- Day view — a timeline from 6 AM to 9 PM showing jobs as blocks at their scheduled time.
- List view — a card-based list of all jobs for the selected day, easier to scan quickly.
- Map view — shows job locations as pins on a map for the selected day. Tap a pin to open the job.
Navigate days using the week strip at the top — swipe left or right to move between weeks. Double-tap the strip to expand a full month calendar. Tap any date to jump to it.
Assigning Team Members
When creating or editing a job, scroll to the Team section and select one or more team members. Assigned members will see the job in their own schedule view and receive a notification.
You can reassign team members at any time by opening the job detail and editing the assignments.
Adding Photos to a Job
Photos give you a visual record of the work done — useful for disputes, warranties, and professional documentation.
- Open the job and scroll to the Photos section.
- Tap Add Photo to take a new photo with your camera or choose one from your library.
- Use the Before/After toggle to categorise photos for comparison views.
- Tap any photo to view it full screen, or swipe to delete an individual photo.
There is no limit to the number of photos you can attach to a job.
Capturing Customer Signatures
Get a digital sign-off from your customer directly on your phone before you leave the site.
- Open the job and scroll to the Signature section.
- Tap Capture Signature. Hand your phone to the customer.
- The customer draws their signature on the canvas with their finger.
- Tap Save Signature. The signature is stored with a date and time stamp.
Signatures are also attached to linked invoices, giving customers a record of what they approved.
Setting Up Recurring Jobs
For regular maintenance contracts or repeat visits, set a job to repeat automatically.
When creating or editing a job, tap Repeat and choose a frequency:
- Weekly
- Bi-weekly (every two weeks)
- Monthly
- As-needed (manual)
Recurring jobs are created automatically in advance and appear on your schedule at the chosen interval.
Syncing with Your Phone Calendar
WorkMate can sync jobs to your device's built-in calendar app (Apple Calendar, Google Calendar, etc.) so you see everything in one place.
To enable sync for all jobs, go to Account → Calendar Sync and turn on the toggle. WorkMate will ask for calendar access permission the first time.
You can also enable or disable sync for an individual job using the calendar toggle on the job form.
Note: Deleting a job in WorkMate also removes it from your phone calendar if sync is enabled.
Deleting and Restoring Jobs
Deleting a job moves it to the Deleted Jobs archive in the Account tab — it is not permanently removed immediately.
To restore a deleted job, go to Account → Deleted Jobs, find the job, and tap Restore. This also restores any linked invoice.
To permanently delete a job (irreversible), tap Delete Permanently from the same screen.
