Overview
Quotes let you present a breakdown of the work and pricing to your customer before any work begins. When a customer approves a quote, the linked job automatically moves to Customer Approved status — giving you a clear record of authorisation.
Quotes are tied directly to jobs in WorkMate. Every quote is created from an existing job, so the line items, customer details, and pricing all stay in sync.
Creating a Quote
- Open the job you want to quote for from the Schedule tab.
- Tap Create Quote (or find the option in the job actions menu).
- Review the line items pulled from the job. You can add, edit, or remove items directly in the quote form.
- Set an optional expiry date — after this date the quote is no longer valid.
- Add any notes for the customer.
- Tap Save Quote.
Tip: Double-check line item prices before sending — once a quote is approved, those prices form the basis for the final invoice.
Sending a Quote to Your Customer
Once saved, tap Send Quote from the job or quote detail screen. WorkMate emails a professional PDF quote to the customer's email address, along with a secure link for them to review and approve.
The job status updates to Quote Sent automatically.
Note: Make sure the linked customer has a valid email address before sending. You can update it in the Customers tab.
How Customers Approve Quotes
Customers receive an email with a link to a secure web page showing the full quote details. From that page they can:
- Tap Approve to accept the quote.
- Tap Decline to reject it.
When a customer approves, the job status instantly moves to Customer Approved and you'll receive a notification. When they decline, the status moves to Quote Declined.
You don't need to be online at the moment of approval — WorkMate syncs the status as soon as you open the app.
Quote Statuses Explained
| Status | What it means |
|---|---|
| Draft | Quote created but not yet sent to the customer. |
| Sent | Quote emailed to the customer and awaiting their response. |
| Approved | Customer has accepted the quote. The job moves to Customer Approved. |
| Declined | Customer has declined the quote. |
| Expired | The quote's expiry date has passed without a response. |
After Approval — What Happens Next?
Once a quote is approved, the job is authorised and ready to be worked on:
- Set the job status to In Progress when you start work.
- Mark Job Started to record a precise start timestamp.
- Upload before and after photos as you work.
- When finished, mark the job Done.
- Create an invoice from the job — see the Invoices article for next steps.
