What is WorkMate?

WorkMate is a mobile app built for contractors and field service businesses. It helps you schedule jobs, manage customers, send quotes and invoices, and keep your team organised — all from your phone.

Whether you work solo or manage a crew, WorkMate gives you a clear picture of your schedule, outstanding payments, and completed work.

Creating Your Account

Download WorkMate from the App Store or Google Play and open it. Tap Sign Up and enter your email address and a password (minimum 8 characters). You can also sign in with Google for faster access.

After signing up you'll be taken through the onboarding flow to set up your business profile before you can access the app.

Setting Up Your Business Profile

During onboarding, WorkMate asks for a few details to personalise your account:

  • Business name — appears on your quotes, invoices, and emails sent to customers.
  • Country — sets your currency and determines which payment options are available.
  • Phone & address — used on customer-facing documents.
  • Trade type — choose from a list (plumber, electrician, landscaper, etc.) or enter your own.
  • Company size — helps WorkMate tailor the experience.

You can update all of these at any time from the Account tab.

Adding Your First Customer

Before creating a job, add the customer it's for. Tap the Customers tab and press the + button. Fill in:

  • Full name (required)
  • Email address
  • Phone number
  • Service address
  • Any notes about this customer

Tap Save and the customer is ready to attach to jobs and invoices.

Tip: If you have many existing customers, add them before setting up jobs so you can link them immediately.

Scheduling Your First Job

Open the Schedule tab and tap the + button (or use the dashboard shortcut). Fill in the job form:

  1. Enter a job title (e.g. "Bathroom tile repair").
  2. Select a customer from your list.
  3. Choose a date and start time.
  4. Add line items — services or materials with quantities and prices.
  5. Optionally assign team members if you have a crew.
  6. Tap Save Job.

The job appears on your schedule with the status Job Saved. From here you can send a quote, mark it in progress, upload photos, and eventually create an invoice once the work is done.

Inviting Your Team

If you have employees or subcontractors, you can invite them to WorkMate so they can view their assigned jobs.

  1. Go to the Account tab and tap Team Management.
  2. Tap Copy Invite Code or Share Invite Link and send it to your team member.
  3. When they join with the code, you'll receive an access request. Tap Approve to activate their account.
  4. Assign them a role — Team Member for standard access or Admin for full management access.

See the Team Management article for a full explanation of roles and permissions.
